We at TOPPAN TRAVEL SERVICE CORPORATION (hereafter "the company") are committed to creation of inspiration through meeting with people and are earnestly committed to earning the trust of our customers. We contribute to a spiritually affluent society together with our customers.
For this purpose, we hereby implement the following measures as part of our important responsibility to protect the privacy of all persons related to the company and in particular our customers.

1. How we use personal information received from our customers

In addition for the purpose of contacting the customer, personal information received from customers, is used within the necessary scope required for procedures related to receipt of services including arranging travel services for the provision of transportation and accommodation during travel requested by the customer (as stated in the itinerary or contract documents for principal transportation and accommodation). Furthermore we have implemented particular measures to avoid the use of personal information for other purposes.

2. Appropriate management of collecting using providing, and outsourcing personal information

Collecting, using, providing, or outsourcing to a third party such personal information against the wish of the person violates that person's rights and results in a loss of trust in the responsible business. Consequently, we have established clearly documented rules for the appropriate management of personal information managing the collection, use, provision, outsourcing to a third party of personal information.
When we receive personal information from a customer, the company will clearly specify the purpose of gathering it and provide a company contact prior to collecting the required minimum of personal information. The company may outsource personal information received from a customer to a third party within the scope necessary to perform travel arrangements including the provision of personal information to transportation and accommodation facilities and similar facilities for the purpose of providing the travel services stated in 1. above and for the purpose of arranging destinations or obtaining visa required for customer travel. In other cases, as a rule, the company will not disclose or provide personal information to a third party without the customer's prior permission. In addition, in the absence of compulsion required by law, the company shall not provide or disclose personal information to a third party without the customer's prior permission. When outsourcing personal information of a customer to an outsourcing partner, we will manage, direct and supervise the outsourcing third party on its proper handling.

3. Prevention of loss, destruction, alteration , and leaking of personal information

To prevent the loss, destruction, alteration , leaking, and other abuse of personal information, the company implements rational and necessary security measures with respect to unauthorized access or computer viruses and provides a prompt and appropriate response in the event of a problem.

4. Compliance of law and regulation, national policies and other standards

The company complies with laws and regulations in addition to other standards related to person information in particular the Personal Information Protection Law and implements corresponding standards within the company. In addition, we provide education and awareness activities concerning personal information issues for all company employees, including senior management.

5. Continuous improvement of the personal information protection compliance system

The company is continuously improving, maintaining, executing, and planning a system in managing the protection of personal information.

6. Privacy Policy in relation to accident insurance agent business

In addition to travel related business, the company also acts as an accident insurance agent. When a customer requests an accident insurance product such as travel insurance, the company uses the customer's personal information for the provision of the accident insurance product.

7. Customer contact for inquiries regarding claim change and deletion of personal information and our products & services

The company uses customer's personal information within the scope of use which is disclosed to the customer in advance (as found on Art 1). The company sometimes contacts our customers by email and post to inform them of information related to company products and services they have used.
If a customer does not want to be contacted on product and service information, we will cease the service upon the customer informing us to that effect via the email address or contact telephone number listed below.
To contact the company to stop receiving product and service information, or contact us with concerns related to personal information or to revise or delete personal information, please contact our staff via email address or telephone number as listed below. Please include the following details to ensure a prompt response.

Guide to disclosure, cancellation of use and deletion of personal information

When a customer wishes to disclose, cancel the use, or delete their personal information which is held by the company, we request that the customer fill out the required sections of the special application form(PDF: 75KB) which is linked to this page and forward the application together with the following required documents by mail to the General Affairs Department of the company.
Each relevant Dept. does not receive these applications. Please make application to the contact point for the relevant department of the company regarding application for the correction, addition, or partial deletion of information.
Please be advised that in either of the above cases, we will confirm the identity of the person making the application together with the identity of the person whose information is covered by the application.

Procedure of disclosing, cancellation of use or deleting personal information

      When applying for disclosure of information, we will forward the basic information of the customer by certified mail.
      The cancellation of use or deletion of information is performed without any cost.
    • (4)When making application as an agent, please forward the following both documents in addition to (1) to (3) above.
      • A.Power of attorney as agent from the principal
      • B.Copy of the documents confirming identity as agent (the same as those for the principal stated in (2) above).
